Let’s talk about what your agency needs

Every VA in our network goes through a multi-stage vetting process — skills assessment, background verification, communication testing, and industry-specific knowledge checks. VAs who pass are then enrolled in our training program, which covers insurance agency workflows, AMS platforms, compliance basics, and client communication standards. By the time we match a VA to your agency, they already understand how insurance businesses operate.

Yes. We match VAs based on your timezone and preferred working hours as a primary filter — not an afterthought. Whether you need someone on East Coast hours, West Coast hours, or a split shift that covers your peak client contact times, we find a VA whose schedule aligns with yours. Availability and overlap are part of every match, not something you negotiate after placement.

Security and compliance are built into our process. All VAs sign NDAs before placement, operate under data handling protocols aligned with insurance industry standards, and are briefed on client confidentiality requirements specific to your state and license type. For agencies with stricter requirements, our team can walk you through additional compliance measures before onboarding begins.

We replace them. If a VA isn't the right fit for any reason — performance, communication, skill gaps, or just personality mismatch — we handle the replacement at no extra cost. Most replacements are completed within five business days. We track placement outcomes and use every case to refine future matches, so the longer you work with us, the better our recommendations get.

Most clients are matched and onboarded within five to seven business days from their first consultation. The process goes: intake call → match presentation → VA interview (optional) → offer and onboarding. If you already know exactly what you need and have your tools ready, we can move faster. The bottleneck is almost never on our end.

A Virtual Assistant is a single dedicated remote professional placed directly with your agency — ideal for owners and small teams who need consistent day-to-day support. A Trained Service Team is a pre-built group of three to ten specialists with a dedicated team lead, standardized SOPs, and built-in quality control — designed for agencies that need to scale output without scaling management overhead. Both options are fully managed through Agency VA.

AVA EOR (Employer of Record) is our global hiring solution for agencies that want to hire international remote workers as full-time employees — without setting up a local entity in another country. We become the legal employer on your behalf and handle contracts, payroll, taxes, and statutory benefits across 150+ countries. You need it if you want to hire internationally with full legal compliance and none of the entity setup cost or complexity.
